How old are you?
If you are under 13 years old, your parents/guardians must help you sign up for an event and read the terms of participation with you, because we want to make sure you know what you are agreeing to and possibly paying for.
We reserve the right to ask about age, if we have any doubts of whether the consent is valid.
Purpose of the processing of your personal data
Depending on whether you are a participant at an event, a relative of a participant, a volunteer or perhaps just a user of our websites, we are obliged to process your personal data to the extent that we can provide you with the services you request and that we can fulfill the obligations we have as Guides and Scouts Denmark.
This is especially true when we need to manage your or your child’s registration for an event. In cases where you are required to provide us with information about yourself or your child, it will appear where we collect the information, marked with.
If you do not want to provide the personal data we ask for, it may mean that you or your child cannot participate in the event or that you as a volunteer cannot be part of our work.
The personal data we process about you
We may collect and process this common, confidential and sensitive personal data about you:
- As a participant at events with us: Name, address, postal code, city, mobile number, email address, date of birth, contact details of relatives, registration and account number, health information and photos.
- As a relative of a participant at one of our events: Name, address, postal code, city, mobile number, e-mail address and, if applicable, registration and account number.
- As a volunteer with us: Name, address, postal code, city, mobile number, e-mail address, date of birth, health information, photos, volunteer function (e.g. kitchen helper) and possibly registration and account number, social security number for obtaining a child certificate and contact details of relatives.

What is my information used for?
How your data is used depends on whether you are an event participant, a relative of an event participant, a volunteer with us or simply a user of our website. If you attend an event with us, we use your personal data to:
- Manage your registration and participation, including that:
- Send you necessary information about and in relation to your participation
- Collect payment if applicable
- Help you with matters related to your participation
- Invite you to other events related to guiding and scouting
- Help you with any health conditions, including consideration of allergens when attending events with us
If you are a relative of a participant at one of our events, we use your personal data to:
- Collect payment if your child is not responsible for payment
- Send you necessary information about your child’s participation

If you volunteer with us, we use your personal data to:
- Contact you for coordination of tasks and events
- Obtain a child certificate if you have regular contact with children under the age of 15

- To cover any expenses you incur in connection with your work for us
If you are the solely using our website, we use your personal data to:
- Making the functionalities of our website available to you
- Compile statistics about your movements on our website
- Optimize the layout of our website
Why are we allowed to process information about you?
General personal data
- When you attend an event, are a relative or volunteer, it is necessary for us to process your general personal data in order to enter into the agreement with you or your child or to handle any inquiries prior to an agreement with us. We are legally obliged to store accounting information for up to five years due to the daish Bookkeeping Act. After 5 years from your or your child’s participation, the information stored for accounting purposes will be deleted.

- Billeder opbevares på https://spejderne.imageshop.no//1438285 og anvendes på www.spejderne.dk, www.spejderneslejr.wpenginepowered.com, sociale medier og i publikationer for Foreningen Spejderne til at illustrere, hvad vi laver, til PR og som illustrationer i publikationer. Billeder anvendes udelukkende i overensstemmelse med spejderværdierne.
- We reserve the right to publish images taken in scouting in communication about the guide and scout movement in print, digital and social media including Facebook.
- We share both portrait photos and photos where the primary purpose is to show a situation, for example scouts doing an activity. Therefore, we cannot exclude the possibility that you may recognize a scout/your child in some of our photos, but the intention is to show what the scouts are doing.
- We only share images that do not contain sensitive personal data and that are deemed harmless without content that may offend anyone. If you generally do not want images of you or your child to be shared, you can withdraw your consent at any time by contacting kontakt@spejderne.dk. No new photos of you or your child will be taken and shared in the future.
- If you see a picture of you or your child that you do not want to be public, you can ask to have it deleted by contacting kontakt@spejderne.dk. Images are deleted on an ongoing basis as the purpose for which they were collected is completed. (Legal basis for processing: Article 6(1)(f) of the General Data Protection Regulation)
- We have an interest in being able to send you emails with information related to your participation in events or your volunteer activities. If you no longer wish to receive emails from us, you can opt out by writing to kontakt@spejderne.dk.(Legal basis for processing: GDPR Article 6(1)(f))
- We compile various statistics for the use of the website. If you use our website, we need, to a limited extent, to be able to administer the information that you provide yourself for the purpose of, for example, cookie management. Read more in our cookie policy. In some cases, we can register which IP addresses have visited our website. Data collected for statistical purposes will be deleted after 2 years at the latest. (Legal basis for processing: Article 6(1)(f) of the General Data Protection Regulation)
Sensitive personal data
- When you attend an event with us, we may ask for health information to better accommodate your participation. Providing information about your health is optional. We ensure at all times that only relevant persons have access to the information. If you no longer want us to have access to your information, you can at any time withdraw your consent for us to process it by contacting us at kontakt@spejderne.dk.
- Health data provided in connection with participation in an event will be deleted no later than 4 months after the end date of the event. (Legal basis for processing: Article 9(2)(a) of the GDPR)
Confidential personal data
- If we ask for your CPR no. in connection with obtaining a child certificate, it is because we are obliged to obtain child certificates for people who have regular contact with children under the age of 15 through the Child Certificate Order. When it is obtained, only the date of the request is saved. The certificate itself is destroyed immediately. (Legal basis for processing: Article 6(1)(c) of the GDPR)
Who do we share your personal data with?
We may share your personal data with the suppliers and partners who help us with finances, our IT operations and hosting, etc. This means that we can share your information with, for example, our service providers, our technical support and our bank.
At Scouts and Guides Denmark, our processing of your or your child’s personal data is subject to internal policies and procedures for how we maintain an appropriate level of security from the time we collect the personal data until deletion, and we only entrust our processing of personal data to data processors who maintain a similar appropriate level of security.
Sharing your data with recipients outside the EU/EEA
In some cases, we transfer your personal data to recipients outside the EU/EEA. This happens when we use service providers in countries outside the EU. Such transfers will be made in accordance with the General Data Protection Regulation, including through the use of e.g. the Commission’s standard contracts or the EU-U.S. Data Privacy Framework.

What rights do I have?
As a data subject, you have a number of rights that you can exercise by contacting kontakt@spejderne.dk.
Please note that there may be conditions or restrictions attached to the exercise of the rights. For example, you may not have the right to erasure in a specific case – it depends on the specific circumstances of the processing activity in question.
Insights
You have the right to access the personal data that we process about you. By writing to us at kontakt@spejderne.dk, you can request access to the personal data we have registered about you, including the purposes for which the data was collected. We will comply with your access request as soon as possible. If we are in doubt about your identity, we may ask you to further identify yourself.
Correction and deletion
You have the right to request rectification, additional processing, erasure or blocking of the personal data we process about you. We will comply with your request as soon as possible, to the extent necessary. If we cannot fulfill your request for good reason, we will contact you.
Limitation of treatment
You have the right to restrict the processing of your personal data in certain circumstances.
Data portability
You have the right to receive your personal data (only information about yourself that you have provided to us) in a structured, commonly used and machine-readable format.
Right of objection
In some cases, you have the right to ask us not to process your personal data. This applies in cases where the processing is based on Article 6(1)(f) of the GDPR.
Withdrawal of consent
If the processing of your personal data is based on your consent, you have the right to withdraw your consent at any time.
Your withdrawal does not affect the lawfulness of the processing that was carried out before you withdrew your consent and the change is therefore only prospective.

If you are dissatisfied with our processing of your or your child’s personal data and wish to complain, we will of course be happy to be informed and do what we can to satisfy you, but you are always entitled to complain directly to the Danish Data Protection Agency:
